As part of your exhibition benefits you have the opportunity to have your details listed in the conference handbook, please email wendy@conference.co.nz your company’s details, exactly how you wish them to appear in the handbook along with your company logo as a high resolution JPEG file by 1 February 2012.

Contractors/sub-contractors working at the Millennium Hotel
It is important that all Contractors comply with Hotel policies to ensure consistency of service, public safety, and compliance with statutory obligations. The safety and legality of any activity carried out within Hotel must be beyond question. Any Contractor working within Hotel venue must meet minimum levels of certification and insurance. When working within the venue, contractor personnel are seen by venue clients and patrons as such, we expect that all Contractor staff will meet minimum levels of presentation, behaviour and compliance with Hotel operational procedures and policies. All Contractors involved in exhibition stand setup must be notified to the Exhibition provider – Displayworks (refer below) and the Venue - Millennium Hotel (refer below) at least 20 working days in advance of their involvement.

Courier Pick Up Post Conference
The Millennium Hotel Queenstown takes no responsibility for goods left on the premises after the event period. They will endeavour to contact you regarding these items left behind and arrange for their collection. As they have limited space available on their dock any packaging or other items left on the dock, which aren’t labelled correctly for collection may be discarded or forwarded back to you at your own expense accordingly. Please ensure all items are clearly labelled to avoid this occurring.
Exhibition Company – Facia Signage, Furniture and Custom Builds
The company contracted to install the exhibition booths, Displayworks, are also able to assist with stand design, fascia signage and have accessories for hire, as furniture at your booth is not included in your exhibition cost.

Internet and Phone Line Access
Internet access is available to your exhibition stand via wireless Broadband and will be chargeable directly to the company exhibiting by the venue. The cost is $70 per day (for an 18 hour period) for 1GB data. This can easily be arranged when you are onsite and does not need to be pre-arranged however if you wish to advise wendy@conference.co.nz in advance of your requirements, please do so. If you require telephone installation or other electronic hardware please request via wendy@conference.co.nz.
Venue
The exhibition will be held in Galaxy Rooms 2 and 3 and the Gallery Foyer of the Millennium Hotel Queenstown. Please note that ceiling height is 3.45m in the Galaxy 2 and 3 (stands 1-19) and 2.3m in the Gallery Foyer (stands 20-25). There is lift access from the lobby.
No food or drink may be distributed from the exhibition stands without prior approval of the venue – please liaise with Wendy regarding any plans you may have well in advance.
Liability – while the venue will use best endeavours to take care of your property during the event, exhibitors have agreed that the venue and organisers are not liable or responsible for injury to any person or damage to or loss of any property or any goods left in the hotel prior to, during or after the event however such injury, damage or loss arises. Should goods arrive at the hotel more than 7 days prior to the event the hotel reserves the right to charge storage.
